DermDoc - Case Study

About The Client

I’ve been in communication with a dozen of clinical practices that have been working in the field for decades and they have grown tired of the old school approach because of its inconvenience and unmaintainability.

But as times are busy and patients are coming in day by day, there is not enough time and head space to think of how their workflow can be optimized and improved, so most of them just keep working the same way as they worked so far.

The lack of modern technology is very common among businesses that have been up and running for a long time, people get used to their routine and adapting to new complex systems can be daunting, especially when the percieved benefits arent immediately clear.

Thats where the idea for DermDoc was born, an easy to use system which cuts through the complexity of new technology, making it a breeze for seasoned dermatologists to adopt innovative and benefitial practices without disrupting their well-honed routines.

The Business Need

Dermatology practices struggle with managing patient data efficiently. Paper charts are time-consuming to maintain, and limit accessibility for collaborative care. Existing electronic health record (EHR) systems can be complex and expensive, often not designed specifically for the needs of dermatologists. This inefficiency leads to:

Objectives:
  • Centralize Patient Information: Doctors manage a lot of data for their patients. Thats why centralizing it in a system that allows you to easily find what your looking for is crucial for efficiency, and saves the doctor valuable time looking for a paper record of a certain patient, which could also easily get lost. The alternative of storing paper records for each patient in a box is messy and hard to maintain.
  • Simplify Visit Tracking: For every patient that visits the practice there is a record of a visit, there can be multiple visits for each patient and they’re very important as they form the patients medical history. Its hard keeping track of all records in a paper form for the issues menioned before.
  • Automate Repetitive Administrative Tasks:  Writing detailed reports manually and sending them to the patient via email is very time-consuming and requires context switching from the doctor. These tasks can be automated by creating a template for the medical records and they can be generated and send to the patient with a couple of clicks.

What DermDoc Did

DermDoc was developed as a comprehensive web app to address these challenges. The platform offers several key features designed to meet the specific needs of healthcare professionals:

  • Patient-Centric Dashboard: Provided a centralized dashboard displaying a snapshot of each patient’s medical history, upcoming appointments, and personalized care plans. This feature ensures that all relevant patient information is easily accessible at a glance.
  • Visit Tracking: Introduced an intuitive interface for recording and monitoring individual patient visits, including symptoms, treatments, and prescribed medications. This simplifies data entry, saving valuable time during consultations and builds up that patients medical record. Based on that data a report can be generated for the entered information.
  • Advanced Filtering: Wasting time going through paper records, looking for the right one is left in the past with DermDoc’s advanced filtering feature. It allows the doctor to find a certain patient very easily when needed and they extract data for certain filters in a case when they want to conduct a scientific study or research.
  • Automated Reporting: Generating a comprehensive medical report is available with just a click. These reports provide a detailed overview of a patient’s latest exam as the doctor entered it in the system. It’s done using a pre-built template that the user can configure and it saves a lot of time, as the alternative is for the doctor to write the medical report from scratch which is time consuming and redundant in this case.
  • Email Automation: With DermDoc, the doctors can send emails to their patients effortlessly with only a click. With predefined templates, it removes the redundancy of writing the same emails over and over, combined with the Report Generation feature, it removes the hassle of sending the right data to your patients, without a chance of error, and without requiring the doctor to leave the DermDoc software. This saves a lot of time as the usual workflow for the doctor is to enter the data for the recent exam then click a button that will generate the report and send it immediately after to the patient.
  • Google Review Email Automation: There is also a feature that allows the doctor to send an email to a certain patient, with a personalized pre-built template, that prompts them to leave a google review for the practice if they’re interested in sharing their opinion of the practice. This has shown to increase google reviews which in turn boosted the practice credibility and patients.

  • Improved Care Coordination: Enhanced communication and collaboration among doctors within the clinic ensured a more coordinated approach to patient care. As the data is centralized and easy to filter, the doctors spend a few seconds looking for a specific case and are much less frustrated when dealing with paper records. This resulted in smoother transitions between appointments and better continuity of care.
  • Financial Benefits: DermDoc’s efficiency gains translated into cost savings for the clinic, reducing administrative overhead and improving revenue cycle management.

By leveraging technology to streamline processes and enhance eliminate repeating and redundant administrative tasks DermDoc exemplified how innovative solutions can drive significant improvements in healthcare delivery and patient outcomes.
